Director of Admissions

Primary Function:

The Director of Admissions will be responsible for managing the admissions process for incoming and prospective residents and for building and growing census and quality mix. This role involves developing the market, providing prospective residents and/or responsible parties with appropriate information, and assisting them in choosing Healthwin, in accordance with current federal, state, and local standards, guidelines, and regulations, as well as the company’s established policies and procedures.

 

Principal Duties and Responsibilities:

·        Admissions Duties:

o   Manage inquiry process.

o   Gather sufficient pre-admission data to determine resident level of care and the ability of the facility to properly care for the resident.

o   Act as the initial contact for health care discharge planners, families, and other responsible parties to respond to admissions referrals and provide appointments that include a presentation, tour, and closing. Promptly respond to all referrals and inquiries, including after hours and on weekends.

o   Make sales calls outside the facility to medical, insurance, legal and financial professionals, senior organizations, appropriate special interest groups, hospital discharge planners, and other community contacts.

o   Build and maintain relationships with hospital accounts.

o   Maintain relationships with legal and financial professionals, senior organizations, assisted living and senior housing facilities, appropriate special interest groups, churches, and other community contacts.

o   Help expedite admissions process for emergencies.

o   Conduct assessments to establish the suitability of prospective admissions.

o   Maintain updated bed availability and facility services information.

o   Compile and distribute admission papers.

o   Report all inquiries, admissions, and discharges.

o   Be a resource to all residents and family members for questions regarding the admission process, financing opportunities, service options, and general campus operations.

·        Marketing Duties:

o   Create facility materials such as press releases, brochures, and advertisements.

o   Perform sales and marketing campaigns.

o   Maintain and update company website.

o   Administrative Duties:

o   Ensure all papers are properly filled out and input into the system.

o   Maintain a working knowledge of federal and state regulations and reimbursement.

o   Maintain knowledge of Medicare and Medicaid regulations.

o   Work with nursing and housekeeping staff to maintain knowledge of the number of beds available.

o   Inform housekeeping staff of empty rooms and have them cleaned.

o   Participate in meetings to alert appropriate staff members of projected admissions, room changes, discharges, and appointments/tours.

·        Resident Rights Functions:

o   Maintain confidentiality of all resident information.

o   Assist in ensuring the resident rights are promoted and respected.

o   Participate in the resident abuse program by pledging to prevent abuse and report any instance of suspected abuse.

Education and Experience:

·        BS degree or equivalent work experience in healthcare or Skilled Nursing Facilities marketing.

·        Nursing experience preferred

·        At least 2 years of experience within the Healthcare and Admissions process for Skilled Nursing Facilities.

·        Experience verifying financial assets, insurance coverage, i.e., Medicare, Medicaid, and private insurance eligibility, and confidential medical information.

·        Excellent organizational and communication skills.

Skills and Knowledge:

·        Ability to make independent decisions when circumstances warrant such action.

·        Ability to plan, organize, develop, implement, and interpret programs, goals, objectives, policies, and procedures necessary for providing quality service and maintaining a sound operation.

·        Patience, tact, cheerful disposition, and enthusiasm; willingness to handle residents, staff, and visitors at their current maturity level.

·        Ability to seek out new methods and principles and incorporate them into existing practices.

·        Good verbal and written communication skills and ability to speak the English language in an understandable manner.

·        Ability to function independently, have flexibility, personal integrity, and work effectively with residents, families, staff, and support personnel.

·        Ability to relate to and work with ill, disabled, emotionally upset, and at times hostile people within the facility.

·        Working knowledge of computers, software systems, and equipment required, including experience with word processing and data entry.
